Protecting Your Privacy is Our Top Priority.At RolloverSystems, protecting your privacy is our top priority. Our rollover process was developed to allow us to capture enough information about you and your investment requirements to effectively match you with financial institutions that best meet your needs. This Privacy Policy applies to all information we collect from you, regardless of whether you actually complete the 401(k) rollover process utilizing our service. We have taken every measure to ensure the security of your personal information, but you should be aware of the following:

The Information We Collect
RolloverSystems does not collect any information from individuals who wish to browse our site. However, in order to match you with appropriate financial institutions we need to collect certain data from you:
Rollover Form Data
In order to take advantage of our service, you must complete a Rollover Form,
which is free of charge. The Rollover Form consists of a variety of questions
aimed at gaining a better understanding of your individual profile and
investment needs. Your individual profile DOES affect the pool of financial
institutions that we are able to match you with. For example, some of the financial
institutions in our Network can only offer investment products to consumers who
reside in specific geographic areas. Therefore, we require you to provide your
legal address on our Rollover Form. We also ask for contact information such as name, phone and
email address. This may be used by our Retirement Center staff to contact you for assistance.
Another factor that influences our ability to present you with multiple offers
from our Network of financial institutions is your investment needs. For
example, if you are interested in working with an institution that offers
online access to your account and 24 hour customer service, we will use our
best efforts to match you with an institution that provides those services.
Therefore, the Rollover Form asks you to answer questions that will allow us to
build a profile of your investment needs.
Rollover Application Information
After you submit your Rollover Form you may receive up to five offers from our
competing Network of financial institutions. After reviewing your offers, you
will be asked to choose a winning institution. Upon choosing an institution,
you will be asked to complete the winning institution's Rollover IRA
Application on our site. In nearly every case, the Rollover Application asks
for additional personal information, such as Social Security number, telephone
number and beneficiary contact and identification (SSN and birth date) information. Many Rollover Applications also require a financial profile, current employer information and identity & citizenship verification (such as a license or passport). Be assured that RolloverSystems will not provide access to, sell or transfer
your information to any third parties for any reason. Please
see "The Use of Your Information" below for more details.
How We Use Your Information
We use the information you provide on your Rollover Form to match you with up to
five competing financial institutions from our Network that offer Rollover IRA
products and services.
RolloverSystems collects personally identifiable information from you when you
submit your Rollover Form. The information we collect is submitted to our
electronic system and then shared with our Network institutions that meet your
needs. The information is used to generate a Rollover Offer. Only general
demographic information is shared at this point. Your name and address are not
shared with the financial institutions providing you with rollover offers.
Once you choose a financial institution for your Rollover IRA, we will then capture additional information from you in order to complete the chosen financial institution's Rollover IRA application. We send a brief "Thank You" email upon completion of the form. We will then begin processing your form and ship a copy to you to sign.* You should sign the form and return it in the pre-addressed, postage-paid envelope. We will notify you via email when we receive it. At that point, we will share all of the information contained in your Rollover IRA application with the winning financial institution that you have selected. If we do not receive your application in the mail within seven business days, we will send you a reminder email. In the event that we are unable to match you with a financial institution, we will notify you on the website, and via email.
* Some financial institutions can accept a digital signature, in which case your application will be electronically transmitted upon completion of the online form.
RolloverSystems also captures information from individuals who utilize our "Contact Us" page. Any information captured via that page will be handled in the same capacity as information captured on our Rollover Form(s).
How Our Partner Financial Institutions Use Your InformationOur partner financial institutions use the information provided to them in your Rollover Application to open a Rollover IRA account for you. Once you submit the Application, you become a customer of that financial institution and that institution will utilize your information according to its own customer privacy policy.
Other PartiesWe DO NOT sell or otherwise transfer your personal information to unaffiliated companies under any circumstances; unless you affirmatively direct us to do so.
However, we may in the future sell all or part of the RolloverSystems business, and in any such transaction, all of our customer information will be part of the transferred assets. Also, in the event of any such transaction, you will also be notified by RolloverSystems posting on its site for a period of at least 30 days that such a sale has occurred. Also, we occasionally employ other companies or individuals to perform certain functions on our behalf, such as analyzing data. These agents may have access to personal information needed to perform their functions, but they may not use it for any other purpose.
RolloverSystems may also share certain aggregated data with our financial institutions and other third parties for general marketing and demographic purposes; however, this information DOES NOT include any of your personal identifying information, and these third parties will not be permitted to use your data in any way.
Correcting/Updating/Deleting/Deactivating Personal InformationIf your personally identifiable information changes (such as zip code, phone, email or postal address), or if you no longer desire our service, we provide a way to correct, update or delete/deactivate your personally identifiable information. This can usually be done at the Your Account page or by emailing our Customer Service Department at customercare@rolloversystems.com.
Tracking and Passive Information Collection TechnologiesLike most standard Web site servers we use log files. This inc internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user's movement in the aggregate, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information.
Cookies
A cookie is a small text file that is stored on a user's computer for record-
keeping purposes. We use cookies on this site. We link the information we store
in cookies to personally identifiable information you submit while on our site.
We use both session ID cookies and persistent cookies. We use session ID cookies to keep track of you as you move through our form. This is necessary to ensure the consistency of your experience. A session ID cookie expires when you close your browser.
A persistent cookie remains on your hard drive for an extended period of time. You can remove persistent cookies by following directions provided in your Internet browser's "help" file. We use persistent cookies to count visitors entering our site from a distribution partner website.
If a user chooses to block cookies from our site, they will not be able to complete our Rollover Form.
Additional InformationThough we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our website.
RolloverSystems SecurityHow We Protect Your Information: A Secure Site and a Secure Data Environment
While no security system is 100% guaranteed, RolloverSystems utilizes several state-of-the-art tools to protect your information. Strict security measures are employed whenever customer or financial institution data is collected and transmitted.
Security Over the InternetRolloverSystems utilizes an Internet security technology known as a Secure Sockets Layer (SSL) protocol to help protect your information. The "s" in the "https" address of RolloverSystems's web pages, as well as the browser security notices displayed by Netscape and Internet Explorer, indicate that SSL is in use. RolloverSystems also employs 128-bit encryption, which means that your information is transmitted over the Internet as a meaningless string of characters. Even if your information were intercepted over the Internet, it would not be understood.
Security Audits and StandardsAlthough we cannot guarantee the security of any data that is transmitted over the Internet, RolloverSystems utilizes all technology within our means to protect your information. To help achieve this objective, RolloverSystems may routinely commission third-party security audits to make sure member information is safe from prying eyes. RolloverSystems has also enrolled with VeriSign, a company that sets strict standards for conducting secure communications and transactions over the Internet.
Secured Transmission of Your Information to Financial institutionsWe transmit your information to financial institutions through a dedicated and secured network. Transmissions are generally encrypted, depending on the technological capabilities of the financial institutions.
Firewall ProtectionOnce we have your information, we store it in a secure database behind a "firewall." A firewall is simply a software and hardware product that limits access by outside computers. Only authorized RolloverSystems personnel have access to this information.
Password (PIN) and Username VerificationAn additional step to protect your information is the use of a unique username and password (or "PIN") for each individual member. This helps prevent someone from entering the site, pretending to be you, and reading your information.
Should you ever forget your PIN, we will first verify your identity and then send your PIN to your registered email address.
Conditions of Use, Notices and RevisionsIf you chose to visit RolloverSystems, your visit and any dispute over privacy is subject to this Privacy Notice and the Conditions of Use.
If we decide to change our Privacy Policy, we will post those changes to this privacy statement, the homepage, and other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the Privacy Policy under which the information was collected.
If, however, we are going to use your personally identifiable information in a manner different from that stated at the time of collection we will notify you via email. You will have a choice as to whether or not we use your information in this different manner. However, if you have opted out of all communication with the site, or deleted/deactivated your account, then you will not be contacted, nor will your personal information be used in this new manner.
